To pay for Whereby Meetings, first choose the host licence you need, then add your card during Whereby checkout. This guide covers signing up, using a Coinepay virtual card, and checking common causes of a declined payment. Whereby Embedded is a separately priced product, so make sure you are buying the right one.

Choose the right Whereby product and plan

Whereby Meetings is for hosting meetings and is priced by host licence. Its Free plan includes one host, one room URL, up to four attendees per meeting, and a 30-minute meeting limit. The paid Meetings plans are Pro and Business. Whereby Embedded is for adding video to a product and is priced by usage; its tiers are Explore, Build, and Enterprise. If you want to host meetings through your Whereby dashboard, follow the Meetings checkout steps below rather than choosing an Embedded tier.

At the time of writing (October 2026), Whereby listed Meetings Pro at US$10.99 per month for one host, with an annual price of US$109.90. Meetings Business was listed at US$13.99 per month per host, with a three-host minimum and a 14-day trial. Annual billing was advertised as saving 17%. Whereby’s displayed USD prices exclude VAT, so review the final amount at checkout and check Whereby’s official pricing page before deciding.

If you need Embedded instead, its Explore tier includes up to 2,000 participant-minutes per month and does not allow additional participant-minutes on that tier. At the time of writing (October 2026), the official pricing page listed Build at US$9.99 per month, with US$0.004 per additional participant-minute after 2,000 included minutes. Enterprise has custom pricing. Embedded has its own pricing and purchase flow; do not assume a Meetings Pro or Business subscription covers it.

What to prepare before checkout

  • A Whereby account and your plan choice. Decide whether you need the single-host Pro plan or Business licences for colleagues. For Business, be ready to provide a company name, a unique subdomain, and the number of colleagues you want to include.
  • A Coinepay account with completed verification. Register with Coinepay and complete identity verification before using its card services. Coinepay issues virtual cards with a card number, expiry date, and CVV, available through its app or self-service dashboard.
  • Enough available funds for the checkout amount. Check the amount Whereby presents, including any applicable tax, against the funds available for your card. If you choose annual billing or multiple Business hosts, compare against that full checkout amount rather than a monthly per-host figure.
  • Your real billing information. Have your actual name, billing country, and address ready. Enter details that accurately correspond to your payment information; do not use an invented address or a different country to try to pass a payment check.

Whereby says it accepts credit or debit cards bearing Visa, Mastercard, or American Express, and does not accept PayPal or bank transfer for these paid plans. Contact Coinepay support to confirm your card meets Whereby’s stated card requirement before you buy. A virtual card is not automatically eligible just because a checkout form has a card-number field. Whereby and its payment processor make the final decision on a transaction.

How to sign up and pay for Whereby Meetings

  1. Create or access your Whereby account. On Whereby’s official site, select Log in or Get Started. Enter your email and confirm using the magic link or 15-minute code Whereby sends, or use its Google or Apple sign-in option. Follow the on-screen prompts to reach your dashboard.
  2. Open your subscription options. In your Whereby account, go to Dashboard → Subscription. Select Pro if you need the individual paid Meetings plan, or select Business if you need licences for a team.
  3. Configure the plan. For Business, enter the requested company name and unique subdomain, choose the number of colleagues, and select monthly or annual billing. Review the three-host minimum and any trial terms shown before continuing. For Pro, follow the displayed plan and billing choices.
  4. Review the payment summary. Check the billing interval, host count, taxes, and amount due. If Whereby offers a trial, read when charges begin and what happens when the trial ends. Do not rely on an earlier advertised price instead of the amount shown for your purchase.
  5. Enter your Coinepay card details. Retrieve the card number, expiry date, and CVV from Coinepay’s app or dashboard and enter them in Whereby’s card fields. Provide your real billing details and complete any authentication requested during checkout. Do not share the CVV in a message to a seller or support agent.
  6. Check the result. Wait for Whereby to confirm the purchase or trial enrolment. Then return to Dashboard → Subscription to verify the plan and billing information. If checkout does not confirm success, check the subscription status before trying again so you do not unintentionally place another order.

You can manage Coinepay from its mobile app on iOS or Android, as well as its self-service dashboard. For questions about your Coinepay card or available funds, use Coinepay support. For a Whereby account or subscription issue, contact Whereby through its official support channels.

What to check if your card is declined

A declined payment does not, by itself, identify the cause. Whereby has not published a single error-message list that you can use to diagnose every checkout failure. Read the message you actually receive, check whether the subscription changed, and work through these possibilities without repeatedly submitting unchanged details.

  • Insufficient available funds: Compare your available card funds with the complete amount displayed at checkout, including applicable tax. Business host counts and annual billing can make the total higher than the headline monthly per-host price. If funds are insufficient, add funds using the options available in Coinepay and try again once the balance updates.
  • Billing details do not match: Recheck the name, country, address, and any other billing fields you entered for typing errors. Whereby account owners or admins can edit billing details under Dashboard → Subscription → Payment & Billing. Correct inaccuracies using your real information; do not substitute a different location to bypass a check.
  • Card authentication or 3-D Secure: If checkout asks you to approve the payment or complete an additional security step, follow the instructions displayed and return to the checkout page. If that step fails, note exactly what happened and ask Coinepay support whether there is a card-side issue. Whereby support can investigate a checkout-side problem.
  • Card eligibility or region checks: Whereby’s stated acceptance policy is for credit or debit cards bearing Visa, Mastercard, or American Express. Ask Coinepay support to confirm whether your card meets that requirement. If a payment is rejected based on billing country or another merchant check, use your true details and ask Whereby whether it can process your purchase; do not try to work around a regional restriction.
  • Incorrect or outdated card details: Re-enter the card number, expiry date, and CVV carefully from your Coinepay dashboard or app. If you are updating an existing subscription, check whether Whereby still has an older card on file under Payment & Billing.

For a failed Pro or Business renewal, Whereby says it notifies customers by email and in the service. Repeated failures can block access; an unpaid account may eventually be downgraded to Free, or, for Business, deleted. Address a renewal problem promptly through the billing settings or the relevant support team.

Manage your Whereby subscription after paying

Whereby account owners or admins can visit Dashboard → Subscription → Payment & Billing to edit the saved card, billing email, country, address, or VAT number and to view invoices. If you replace your card, update it there before the next renewal and verify that Whereby saved the change.

To stop a Meetings Pro or Business subscription, go to Subscription → Cancel subscription. Whereby says there is no cancellation penalty and paid features remain available through the prepaid period, including for annual plans. Cancellation does not normally mean a refund: Whereby says it generally does not refund a change of mind or an automatic renewal. It may review exceptional circumstances requested within 30 days of renewal; invoices older than 30 days are ineligible for consideration. Check your subscription status after cancelling and keep the confirmation for your records.
