FreshBooks is cloud accounting and invoicing software for freelancers and small businesses. This guide shows how to use a Coinepay virtual card to pay for a FreshBooks subscription, walks through the sign-up and checkout flow, and lists the most common reasons a subscription card is declined so you can fix them quickly.
Before you start: an important card requirement
For a FreshBooks subscription billed directly by FreshBooks, its help pages specify Visa, Mastercard, American Express, or Discover credit cards, and state that prepaid and debit cards are not supported. FreshBooks also offers Apple Subscriptions and Google Play Subscriptions as separate mobile billing routes managed by those stores.
Because of this, confirm that your card meets FreshBooks' requirement before you try to subscribe. Contact Coinepay support to check your card type against this requirement first, so you don't start a checkout that will be rejected. Note that the card options listed on FreshBooks' client invoice payment pages (which can include Apple Pay, Google Pay, ACH and other methods) are not stated to be subscription-checkout methods.
What you need
- A registered, KYC-verified Coinepay account. If you don't have one yet, create an account and complete identity verification first.
- A Coinepay virtual card with its number, expiry date and CVV, available in your Coinepay dashboard or the app for iOS and Android.
- Enough balance on the card to cover the plan you choose, including any currency conversion or bank fees your provider may apply.
- Your real billing address, matching the details on your Coinepay account.
- A FreshBooks account in a country that is not subject to applicable US or Canadian sanctions. FreshBooks says sanctioned countries cannot be used as a billing country, account country or client country.
FreshBooks plans and pricing
FreshBooks lists four tiers: Lite (up to 5 billable clients), Plus (up to 50), Premium (unlimited), and Select (unlimited, priced by consultation). Prices vary by region and change with promotions, so always confirm the current total on the official FreshBooks pricing page before you pay. Annual plans are listed at 10% below twelve regular monthly payments.
At the time of writing (October 2026), regular monthly prices for Lite, Plus and Premium were about US$23, US$43 and US$70 in the United States; C$26, C$42 and C$72 in Canada; £16, £30 and £42 in the United Kingdom; A$29, A$43 and A$60 in Australia; and €16, €30 and €50 in euro-priced markets. Promotional discounts (for example 80% off for a few months in some regions, or 50% off in others) were advertised and can change the checkout total. Treat these as a rough guide only and check the pricing page for your region. A 2026 base-price increase applies to existing customers after March 5, 2026, per their billing cycles.
Step 1: Create or sign in to your FreshBooks account
FreshBooks offers a 30-day trial without a credit card. Go to freshbooks.com, sign up with an email and password or with Apple/Google sign-in, verify your account, and answer a few business questions. Alternatively, the pricing page has a Buy Now route if you prefer to subscribe immediately rather than trial first.
Step 2: Open Billing and Upgrade
On the web, select your profile picture or initials in the corner, then choose Billing and Upgrade. This is where your subscription is managed. Keep it separate in your mind from Settings → Payments and Client Billing, which controls how your clients pay invoices, not how you pay FreshBooks.
Step 3: Choose your plan and billing cycle
- Pick Monthly or Yearly.
- Select Choose Plan for Lite, Plus or Premium.
- Adjust team-member seats if you need extra users.
- Select Review and Pay.
If you upgrade during the free trial, subscription charges do not begin until the trial ends, after which billing recurs automatically.
Step 4: Enter your Coinepay card details
Open your Coinepay dashboard or app and copy your virtual card's number, expiry date and CVV. In FreshBooks, enter them in the payment form and type your billing address exactly as it appears on your Coinepay account. Then confirm the purchase.
If your bank or card provider uses 3-D Secure, you may be prompted to approve the charge. Keep the Coinepay app open so you can see and approve any confirmation request promptly.
Step 5: Update or change the card later
To change the card or billing address used for your subscription, go to Billing and Upgrade → Payment Details → Update Payment Method. Remember that this is distinct from Settings → Payments and Client Billing → Online Payments / Payment Options, which only affects how clients pay you.
Troubleshooting: why a subscription card gets declined
FreshBooks documents several reasons a subscription or card entry can fail. Work through these before retrying.
| Symptom | Likely cause | What to do |
|---|---|---|
| Payment fails at checkout | Insufficient funds, including the effect of exchange-rate conversion or bank fees | Top up your Coinepay card with margin above the plan price and retry. |
| Card rejected on entry | Unsupported card type (prepaid or debit) | FreshBooks requires Visa, Mastercard, Amex or Discover credit cards for subscriptions. Contact Coinepay support to confirm your card meets this before buying. |
| "Incorrect or expired details" | Wrong number, CVV or expiry, or expiry-date format | Re-copy the details from the Coinepay app; avoid browser autofill, which can insert old data. |
| Address error | Mismatched billing address or unsupported address characters | Enter the exact address on your Coinepay account using standard characters. |
| Recurring charge blocked | Your bank is blocking the charge or requires authorization | Approve the 3-D Secure/authorization prompt; FreshBooks also retries declined subscription payments. |
| Checkout unavailable in your country | Merchant region/sanctions checks | FreshBooks cannot bill from countries under applicable US or Canadian sanctions. Use a valid, non-sanctioned billing country. |
A single universal verbatim checkout decline message is not published by FreshBooks. If a browser issue is suspected, try a different browser or clear autofill and re-enter the card manually. For client invoice payments (a different flow), FreshBooks shows notification labels such as "Invoice Online Payment Declined" and "Invoice Online Payment Error", which are unrelated to your own subscription checkout.
Cancellations and refunds
An account owner can cancel a directly billed account on the web via Billing and Upgrade → cancel your account; access continues through the current billing cycle. Select customers, or users without that option, must contact FreshBooks Support, and app-store subscribers cancel through Apple or Google. FreshBooks' pricing page mentions a full refund if you contact them within 30 days of purchase, while its terms describe fees as generally non-refundable, so eligibility for any later refund is decided by Support on review. Cancelling the subscription does not close your Coinepay card; manage the card separately in the Coinepay app.
